Scenario:  You have a centralized letterhead on your server which everyone uses, the letterhead is embedded using a Microsoft Word LINK object fieldcode.  The problem is that any merge document that utilizes this letterhead is locking the letterhead file which prevents files opening up from history or merging.

 Even merge documents that have the letterhead embedded stop half way through on the document designer with a "file in use - open as read only?" error message.

There are multiple solutions:-

 

1. Replace the Word LINK with a new merge [Insert File-] fieldcode.  But this would entail editing every single merge document within the system

or:

2.Try the "NoPromptToForkDocuments" registry key change as detailed in the Microsoft Knowledgebase article:  http://support.microsoft.com/kb/292122  but I believe this is only an option for Word 2002.

or:

Make the letterhead file a READ ONLY file (right click on it and set the read only flag in the attributes).  In doing so the file will never be locked for editing by anyone on the network so the prompt will never appear.   The only thing to note is that whenever someone needs to modify the letterhead file they will need to remove the read only flag before Word will let them edit the file.  Having said that, this method is MUCH MORE preferable to having to edit every single merge document within the system.
